What's going to happen next

Setting up your workplace

Over the next several pages we're going to set your workplace up with its timesheet senders, approvers and processors. You'll be the administrator for this new workplace but you can transfer the ownership later.

It's normal to want to do a little test run with some people around the office first, that's great, but we recommend using your real workplace name.

Please take a moment to get to know some of these concepts.

The A-Team

In a moment, we'll make a team of approvers and put you in it. You can add any deputies to approve timesheets when you're not in town.

We'll also make a team for the processors.

Teams receive timesheets via a shared inbox and alerts will be sent to you, since you'll be the primary team member.

Assignments, workflows & clients

An assignment encapsulates the idea of one or more senders assigned to a job and the teams that approve and process their timesheets. We'll create an assignment in a minute. Name the assignment after the job they're working on or the client's company name, location or whatever makes most sense.

Senders will each be assigned a workflow. A workflow is how a sender sees the assignment from their side. Senders track time against their work activities using their journal and they link their activities to a workflow.

Different activities can be linked to different workflows. This allows freelancers who work for different agencies or have side-hustles to journal all their time in one place, under one login.

A client is usually the company that the sender is working for. As an approver you may be end client—we'll automatically create a client at the end.

Journalling

The journal is a private space where senders track the time they've spent on various activities.

Senders create and name their own activities in a flexible triplet format, for example.

XYZ Corp > Project 1 > Design

ABC Inc > Bangalore > Cleaning

Senders track time in hours and blocks of ten minutes. We automatically map this detailed time to the timesheet billing units, such as half-day units. The sender can tweak the units and attach a file before sending.

Because we fill-out the timesheet according to your rules, it can never be invalid and waste time.
